Stock invoicing linked to Xero for car dealers

Many independent dealers already have a website they like. The gap is usually behind the scenes: stock invoices, deposits, VAT treatment and payments still need to be copied into Xero. TraderWay gives dealers a proper invoicing workflow that can send authorised sales and payment records into Xero, saving accountant time without forcing a website move on day one.

What matters

Make the DMS useful before the website switch

Many independent dealers already have a website they like. The gap is usually behind the scenes: stock invoices, deposits, VAT treatment and payments still need to be copied into Xero. TraderWay gives dealers a proper invoicing workflow that can send authorised sales and payment records into Xero, saving accountant time without forcing a website move on day one.

Sync invoices from stock
Create the vehicle invoice in TraderWay, then send the customer, vehicle reference, line items, totals and due date into Xero.
Post deposits and balances
Recorded payments can be sent to the configured Xero bank or cash account so paid invoices do not need rebuilding by hand.
Handle margin VAT carefully
Margin-scheme sales can use no-tax invoice lines and a separate margin sales account code, with final mappings agreed by the accountant.
Fit the accountant setup
Sales accounts, margin accounts, payment accounts and tax types are configurable per dealer, matching the chart of accounts in Xero.

Why dealers ask for Xero integration

A dealer may already have a strong website, but accounts admin still creates friction. If invoices are created in one system and entered into Xero again later, the accountant loses time and the dealer risks mismatched figures, missing payment dates or the wrong account code.

How TraderWay fits

TraderWay keeps vehicle invoicing inside the DMS, then sends the authorised invoice and payments to Xero. That means the dealer can start by solving the accounting workflow first, then decide later whether to move the public website into TraderWay too.

What needs setting up

Each dealer connects their Xero organisation, chooses the sales and payment accounts, confirms the standard and no-VAT tax types, and decides whether invoices sync automatically. This keeps the integration practical for real motor trade bookkeeping instead of assuming every dealer posts sales the same way.

Where accountants stay involved

TraderWay reduces manual entry, but it does not replace accounting advice. Margin VAT, finance settlements and chart-of-accounts treatment should still be checked with the dealer accountant before live use.

What comes as standard

Every TraderWay plan starts with a public website, live stock pages, vehicle detail pages and enquiry capture. Growth and Business add marketplace feeds, Xero sync, reviews, reservations, team roles and an activity log, so the platform grows with the dealership instead of needing separate tools bolted on.

Switching without disruption

Moving provider does not have to mean downtime. TraderWay can help plan the domain move, import existing stock and get key pages live before the old site is switched off, with full Business access free for the first 6 months to test everything first.
